Job Description
 
JOB TITLE: Director of Operations
                                                                       

FLSA Job Status:        Exempt
Education/Licensure:  Minimum of a Bachelor’s degree in Business Administration or equivalent education, with three years experience in operations and one year experience supervising staff.  Must have experience or education in human resources and facility maintenance.  Must have good knowledge of OSHA requirements and must become familiar with Life Safety Codes.  Must be fluent in English, spoken as well as written.

I.          ORGANIZATIONAL SUMMARYA.        Reports to:      Executive Director
B.         Key Working Relationships:  Medical Practitioners, Medical Support Staff,
Behavioral Health Clinicians, Dentist, and Administration.
C.        Primary Customer Groups:  IFHS staff, patients and their families, and vendors/customers

II.        STANDARDS OF CONDUCT

III.       JOB SUMMARY
  1. Schedule: Will have a flexible schedule based in IFHS needs that includes working some weekends.
  2. Duties:
    1. Responsible for maintaining the smooth functioning of clinic operations.
    2. Responsible for maintaining legal compliance with all regulatory requirements, including developing, maintaining and administering required regulatory training schedules for all staff, maintaining all records for OSHA, maintaining worker’s compensation records, and updating and maintaining appropriate policies and procedures.
    3. Responsible for keeping IFHS current and compliant with building fire inspections and life safety code inspections.
    4. Responsible for updating and maintaining all clinic insurances.
    5. Responsible for ensuring all new employees are appropriately screened, and when relevant credentialing and privileging is performed and updated according to IFHS policy and State and federal law.
    6. Responsible ensuring that all appropriate travel arrangements are made for clinic staff, board, students, residents, locums and contractors.
    7. Responsible for inspection, maintenance and repair of all clinic facilities and equipment, including physical plant, machine room equipment and systems, HVAC, rental properties, vehicles, medical equipment, IT equipment and office equipment.
    8. Responsible for ensuring grounds maintenance and snow removal when necessary.
    9. Interviews, screens, and hires janitorial applicants with approval of the Executive Director.
    10. Selects, screens and hires contractors as needed to perform clinic maintenance, with the approval of the Executive Director.
    11. Supervises janitorial, IT, personnel/HR, and facility maintenance staff and contractors.
    12. Annually evaluate janitorial, IT and facility maintenance staff with approval of the Executive Director.
    13. Annually review and update regulatory policy and procedure manuals and job descriptions.
    14. Responsible for ordering, maintaining and storing appropriate supplies and equipment for administrative, IT and facility function.
    15. Responsible for managing housing assignments, car assignments, and key assignments, including check-in/check-out procedures.
    16. Serves on Process Improvement Committee, Infection Control and Safety Committee, Quality Improvement Committee and Protocol Committee.
    17. Other duties as assigned by the Executive Director.
 
IV.       ESSENTIAL FUNCTIONS
  1. BS or BA degree in business administration or equivalent education or experience.
  2. 3 years experience with managing operations including building functions, such as plumbing, electrical and carpentry.
  3. One year experience with managing personnel.
  4. Valid AK Driver's license
  5. Hearing: within normal limits with or without use of corrective devices
  6. Vision: adequate to read 12-point type with or without corrective lenses
  7. Must be able to interact in English with staff, patients, and public both verbally and in writing.
  8. Must have manual dexterity of hands/fingers for frequent writing, computer work, filing, and data entry.
  9. Must be able to frequently walk 50% of the day
  10. Must be able to occasionally lift, push and pull up to 50lbs

IFHS will be closed from noon to 1:00 PM, Monday through Friday only.
IFHS OPENS AT 9:30 AM the third Wednesday of each month due to our all-staff meeting.
